Administrative Assistant [Canada]

We are looking for a strong team player who could assist in daily office needs and manage our company’s general administrative activities. We are looking for an experienced Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to the organization, including scheduling meetings, managing calendars, handling correspondence, and providing general office support. The ideal candidate will have excellent organizational skills, be detail-oriented, and have the ability to multitask and prioritize effectively. This position reports to the Production Manager.

Position Summary:

  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with technicians to handle requests and queries from senior managers

Requirements and skills:

  • Proven experience as an Administrative Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment (printer, label maker, etc.)
  • Proficiency in Google Workplace (Google Docs, Sheets, etc.)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task

Education / Experience:

  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Job Types: Full-time, Permanent

Salary: From $35,000.00 per year
